Welcome to the Kootenay Wellness Festival 2025, where we embark on a journey of collective growth, exploration, and connection.

Thank you for your interest in volunteering this year.

To apply, we kindly ask that you complete the form below in full with as much detail as possible.

Each application will be thoughtfully reviewed by the Volunteer Coordinator who may reach out for additional information if needed.

Rest assured that all successful applicants will receive a response regarding their application status no later than August 31st 2025.

Volunteer Deposit System
All chosen volunteers are required to pay a deposit of $50 to secure their volunteer role and festival ticket. If the deposit is a barrier for you, please communicate this to the volunteer coordinator once they have contacted you.

Deposit payments will need to be sent in full via e-transfer once you have been confirmed by our Volunteer Coordinator. Deposits will be returned in full, 4 weeks after the festival dates.

Deposits will not be returned if volunteers fail to show up for their scheduled shifts.

Kootenay Yoga Festival 12 - 14 September 2025

Basic Information

Festival Volunteer Team Information:

Please read role details carefully before continuing, role expectations may be different from previous years.

Pre-fest Set Up
  • Required availability on Thursday 11th and/or Friday 12th September 2025.
  • General set up and decorating of the event.
  • Experience in this area or art/creative background will be considered an asset.
  • Reporting to Art & Design Director.
Parking/Environmental
  • Set-up a parking area with staff direction, safely diagonally park guests, give directions as needed.
  • Tidy and dispose of any garbage/recycling you come across on the grounds or anything out of place.
  • Clean up wash stations after lunch/dinner breaks and support the kitchen team, returning items to the kitchen as needed and maintaining a clean and welcoming environment.
  • Help maintain a positive energy on the grounds through checking in with guests during class breaks (when you have spare moments).
Welcome
  • Front line of communication offering a warm welcome to our Kootenay Wellness Festival guests, teachers, elders, vendors and performers alike.
  • Tasks could include but are not limited to: ticket sales/verification, check-in, merch sales, directing to parking areas, providing general festival information, directing people to different locations/stages, emergency preparedness.
Kitchen
  • Shifts may be pre and/or during festival depending on needs and your availability.
  • Roles include but are not limited to: food preparation, washing dishes, loading/emptying dishwasher, preparing for food service, collecting meal tickets, serving food, navigating allergy questions (know the menu or ask for help), garbage, and ensuring a tidy working space.
Lounge and Snack Tent
  • Serving tea/coffee/snacks, maintaining a clean and inviting booth, keeping items stocked, handling money, using POS system, and supporting the Kitchen Team if/when needed.
KWF Non-Profit Foundation Info Booth
  • This team will provide information on the Kootenay Wellness Foundation Non-Profit organisation to guests. Info: kootenayyogafestival.com
Stage Manager
  • Support facilitators with set up or other needs before/during class.
  • Volunteers are assigned to a stage and help facilitators, welcome guests, and direct attendees.
  • Monitor participant caps per facilitator’s discretion and redirect overflow as needed.
  • Stay at your stage during your shift and complete a provided checklist/review sheet.
Post-fest Take Down
  • Required availability Monday 15th September 2025.
  • General teardown and cleaning after the event.
Flex
  • The Flex team is the Jack-of-all-Trades team. You’ll support other teams and jump in where needed based on demand.
Select as many as you like. See above for details on roles/expectations. Depending on the needs of the festival you may be place in more than one team.
Though we will do our best, it is not guaranteed that you will be placed in either of these teams.
If placed in this role, you will be supporting the Volunteer Coordinator and helping to manage specific teams of volunteers.

Please note this role will require working on Saturday 14th and/or Sunday 15th between the hours of 10am-6pm.

In exchange for additional responsibilities, you would be expected to provide a reduced hour commitment of 6hrs (as apposed to 8hrs) to receive a Full Weekend Pass.

You will also receive a 15% discount on second Full Weekend Pass.

You may also be invited for an interview to asses your suitability for the role.
